Manage campuses

Create and configure the campuses your school runs, and set the school year.

A campus is one of the locations your school operates from — a main site, a second branch, a junior wing. As a school admin you set these up once, and each campus then builds its own timetable, classes, and terms on top of the school-wide academic year. This guide walks you through creating, editing, and deleting a campus, and setting the year they all build on.

Before you start

You need school admin access with permission to manage campuses. If you don't see Campuses under the Organisation heading in the sidebar, ask another admin to grant it.

Step 1: Open Campuses

In the left sidebar, find the Organisation heading and click Campuses. You'll land on the Campuses page, which lists every campus your school already has as a card. If there are none yet, you'll see a No campuses yet message with a Create Campus button.

Step 2: Start a new campus

Click New Campus (top right), or Create Campus if the list is empty. This opens the Create campus page.

Step 3: Fill in the campus details

Under Campus details, enter:

  • Name — what the campus is called, e.g. Main Campus (required).
  • Email — the campus contact address (required).
  • Phone — a contact number (required).
  • Admission fee — a default fee amount for new applicants (optional).
  • Description — a short line about the campus (optional).

Step 4: Add the address

Under Address, fill in where the campus is:

  • Address line 1 (required) and Address line 2 (optional).
  • City, State / Province, and Postal code.
  • Country (required).

Required fields

Fields marked with a star — Name, Email, Phone, Address line 1, and Country — must be filled in before you can save.

Step 5: Create it

Click Create Campus at the bottom. You'll see a Campus created successfully message and land on the new campus's own page, with Overview and Settings tabs.

Step 6: Edit a campus later

From the Campuses list, click any campus card to open it, then click Update (or open the Settings tab). You can also click the three-dots menu on a card and choose Settings. Change any of the details, then click Save Changes. Reset discards your edits and puts the original values back.

Step 7: Delete a campus

To remove a campus, open the three-dots menu on its card and choose Delete, or open the campus and scroll to the Danger zone in Settings and click Delete Campus. You'll be asked to type the campus name to confirm.

Deleting is permanent

Deleting a campus cannot be undone. Only do this for a campus that was created by mistake or is no longer in use.

Step 8: Set the school year

Every campus builds its terms on the school-wide academic year. In the sidebar, under Overview, click Academic Year to open the Academic Year page. Click New Year (or Create Academic Year if the list is empty) to open the Create Academic Year panel, then fill in:

  • Year — the calendar year, between this year and five years ahead.
  • Name — a label such as 2024 Academic Year (this fills in automatically once you type the year, but you can change it).
  • Start Date and End Date — pick them from the calendar.

Click Create Academic Year to save it.

Step 9: Make a year current or archive it

On any year's card, open the three-dots menu:

  • Set as Current marks it as the active year for the whole school. The current year shows a Current badge.
  • Archive retires a year you're no longer using.

This affects every campus

Setting a year as current or archiving one changes things for all campuses on that year, so confirm carefully before you do it.

What happens next

  • Each new campus appears as a card on the Campuses list with its location and email.
  • Staff and students can be assigned to the campus, and it can build its own classes and terms.
  • The current academic year becomes the foundation every campus uses to set up its terms.
