Manage staff
Open a staff member's profile, assign their roles, and manage their account.
You're a school admin and a colleague's details have changed — they've moved to a new campus, taken on a new responsibility, or left the school. This guide shows you how to open a staff member's profile and manage their roles, campus, access code, and account.
Before you start
You need Staff access in the Admin Hub. If you don't see People in the sidebar, ask another admin to grant it. New staff aren't added by hand here — they're brought in automatically through Directory Sync (under Development in the sidebar), so this guide covers managing people who are already in the list.
Step 1: Open the staff list
In the left sidebar, open the People group and click Staff. The page opens on the Staff tab, showing everyone at the school with their name, access code, campus, staff ID, and join date. (The Overview tab is a summary — the Staff tab is the working list.)
Step 2: Open a staff member
Click a person's name to open their Staff Profile on the right. You can also use the three-dot menu at the end of their row and choose View Profile.
The profile shows their photo, department, campus, and email at the top, then two tabs — Overview and Activity. The Overview tab holds their details and roles and is where the rest of this guide works; Activity is a history view that's still being built.
Step 3: Edit their name
In the profile, click Edit near the top. The Edit Staff panel lets you update First Name, Last Name, and Other Names. Click Save Changes when done.
Just the basics here
This panel only covers names. Campus and roles are changed lower down on the Overview tab, as shown next.
Step 4: Set their campus
On the Overview tab, find the Campus row. Click the campus shown (or School wide if none is set) and pick a campus from the list. To take them off a campus entirely, choose Remove from Campus.
Step 5: Assign a role
Scroll to the Roles section and click Assign role. Then:
- Role — pick the role from the dropdown, e.g. Bursar or Teacher.
- Scope — choose School to apply the role across the whole school, or Campus to limit it to one site.
- Campus — if you chose Campus, pick which one.
Click Assign. The role appears in the list, labelled School-wide or Campus with the campus name.
Roles control what they can do
A role decides which parts of the Admin Hub a person can open and change. Give the narrowest scope that fits — a campus-only role keeps their access to a single site.
Step 6: Remove a role
To take a role away, find it in the Roles list and click the small x beside it. Confirm on the prompt that appears — it's titled with the role's name, for example Remove Bursar?. Their access tied to that role is withdrawn straight away.
Step 7: Copy their access code
Staff sign in with an access code. To share it, click Copy Code near the top of the profile, or use the row's three-dot menu and choose Copy Access Code. You'll see an Access code copied confirmation.
Step 8: Delete an account
Open the three-dot menu at the top of the profile and choose Delete to remove the staff member entirely. You'll be asked to confirm, and this can't be undone.
Suspend isn't available yet
You may notice a Suspend option in this menu. It isn't wired up yet — choosing it does nothing. For now, removing someone's roles (Step 6) is the way to take away their access without deleting the account.
Deleting is permanent
Deleting removes the account and its access for good. If someone is only stepping away for a while, take their roles off instead (Step 6) so nothing is lost.
What happens next
- Role and campus changes take effect immediately — the staff member sees their new access the next time they open the Admin Hub.
- A copied access code is on your clipboard, ready to paste into a message.
- A deleted account is gone for good — to pause access instead, remove the person's roles.
