Switch academic years

View a past or upcoming year's records — gradebooks, enrollments, fees — and get back to the current year in one click.

You're a teacher who needs last year's gradebook for a reference letter, or an admin checking how next year's classes are shaping up. Everything in the campus hub — classes, gradebooks, enrollments, payment items — shows one academic year at a time, and you can switch which one you're looking at whenever you like.

Before you start

Anyone with access to the campus hub can switch the year they're viewing — it only changes what you see, on your screen. It does not change the school's official current year, and it doesn't affect anyone else.

Step 1: Open the year menu

Look at the top of the left sidebar, where the campus name is shown with the academic year underneath it (for example, Main Campus over 2025/2026). Click it — it's a menu, not just a label.

Step 2: Pick a year

A panel opens under the heading Academic Years, listing every year your campus has. Two markers help you orient:

  • The school's official current year carries a Current badge.
  • The year you're viewing right now is shown with a highlighted background.

Click the year you want.

Step 3: Notice the blue border

The whole page now shows that year's data — and so you never forget where you are, a sky-blue border appears around the app with a small pill at the top reading "Viewing 2024/2025 — back to current" (using that year's name). If the year has been locked by an admin, the pill reads "Viewing 2024/2025 · Locked — back to current".

Everything you open while the border is showing — gradebooks, class lists, payment items — belongs to that year. Pagination, searches, and links all follow along.

Step 4: Come back to the current year

Click the "— back to current" pill at the top of the screen. The border disappears and you're back on the current year. (Picking the Current-badged year from the sidebar menu does the same thing.)

What happens next

  • On a locked year, the hub is read-only: buttons like Add term, Create item, or Add assessment simply don't appear, and score grids can't be edited. You can still read everything.
  • On a past year that hasn't been locked yet, you can still make corrections — for example fixing a result from last term — right up until an admin locks it.
  • Your view resets to the current year if you switch campuses.
